Review populations often contain documents with similar, but not identical, content (near dupes) and email conversations (threads). Equivio’s technology groups similar documents and emails so your clients can review and tag them quickly and consistently. If we process files using Equivio, we add links for near dupes and email threads in Catalyst CR. Reviewers can use the “tag all” feature to mark them and the Compare tool to hone in on differences.

What are the Benefits of Using Equivio?

Equivio and Catalyst tests on real document populations have shown that near duplicates can make up as much as 30% of a document population and threads can comprise as much as 50% of all emails. Working with some of you, we have run Equivio against cases in our repository and have found results like these:

• We processed about 366,000 files (mostly scanned) and determined that 42% were near dupes and another 8% were actual dupes. Grouping these saved the client substantially on review.
• A client had about 120,000 files including email and documents. We processed them and determined that 44% were near dupes and 30% were part of email conversations.
• We processed 25,000 files for quick review and determined that 40% of the files were near dupes and over 50% of the emails could be grouped into conversations.

In at least one case, the client had already reviewed the documents we processed. To our client’s chagrin, we learned that many of the near dupes and email conversations were tagged differently and had to be corrected.
